Endeavour Energy
SUMMARY
Endeavour Energy owns, maintains, and operates an electrical distribution network supplying 2.4 million people across 24,800 square kilometers. PMWeb is used to manage all contracts and all contractor relationships, including performance monitoring and management
CHALLENGE
Endeavour went to the open market to seek a solution for its Contract and Contractor Lifecycle Management needs, selecting PMWeb at the end of an extensive 12-month procurement process. The Endeavour System went live in October 2015 to some 210 users, growing to over 400 users after two years. We also upgraded Endeavour’s system to v5.2.03 in 2018.
SOLUTION
Endeavour is a good example of the use of PMWeb’s Concurrent Collaboration Licence – allowing users throughout the organisation to log in and carry out routine tasks such as requesting procurements. Endeavour originally had 36 Licences for their 400+ users. Of these, 15 were Concurrent Collaboration licences, serving several hundred users on the basis that only 15 of this user type would be online at the same time. This high ratio of users to licences operated successfully for several years. In 2019, Endeavour changed its procurement planning policy and reduced the concurrent licence count to 5, servicing some 200+ users – so still a high ratio of users to licences.
RESULTS AND BENEFITS
As part of the Implementation, we integrated PMWeb with Endeavour’s Ellipse Financial System. Data is exchanged in both directions via Endeavour’s JBoss middleware platform. We also integrated Active Directory. Endeavour had intended having us integrate with their OpenText Document Management System; however, after they experienced PMWeb’s Document Management functionality, they decided to use the PMWeb functionality rather than OpenText – saving costs on OpenText licences in the process. Use of PMWeb’s Custom Forms feature is a key element in the effective use of the Concurrent Collaboration licence type, as Custom Forms may be used/viewed by Collaboration Users and put through Workflow. Endeavour had well-developed diagrams of how it wanted its system configured – see example below:
The following is an example of a Custom Form developed for submission of Procurement Plans – these Custom Forms can be added for any purpose and mirror a client’s own existing forms if required:
Dashboards and reports were tailored to suit Endeavour’s specific requirements, in addition to their use of “out of the box” reports:
