SUMMARY
The Tucson Airport Authority (TAA) operates Tucson International Airport and Ryan Airfield. They implemented PMWeb to manage their Capital Improvement Program and Major Maintenance Program, which together range from $10 million to $50+ million in works each year.
OVERVIEW
Founded in 1948, the Tucson Airport Authority (TAA) operates Tucson International Airport, the 64th largest commercial airport in the country; as well as Ryan Airfield (RYN), one of the busiest general aviation airports in Arizona. In order to operate and maintain the airports, the TAA has an extensive Capital Improvement Program and Major Maintenance Program each year. The TAA Planning and Development Group, in conjunction with their Contacting Services and Maintenance Groups, manage these programs. TAA’s annual CIP varies year to year but has generally ranged between $8 million to $30 million per year with an occasional peak of above $50 million for very large projects. The Major Maintenance Program averages approximately $2 million per year.
CHALLENGE
TAA was utilizing a combination of Microsoft Office Products (Excel, Outlook, Project, etc.) and paper records to manage their improvement and maintenance programs. They wanted a Software-as-a-Service (SAAS) owner-based solution which would, at a minimum, provide visual workflow processes, scheduling, document tracking (engineering forms and plans management), project-level costs management and online change management. It would contain tiered access for different types of users, providing outside users (architectural/engineering consultants and contractors) the ability to access and submit information to the system. Finally, the solution would allow TAA staff to customize/manage the software with relatively little support after initial training/set-up.
SOLUTION
TAA selected PMWeb as their Software-as-a-Service (SAAS) owner-based solution. PMWeb was involved with configuring, implementing, and training TAA staff using a Train-The-Trainer approach. TAA purchased several PMWeb modules and toolbox items such as Cost Management, Project Management, Scheduling, and Custom Form Builder. Planning will be incorporated in a later project phase.
RESULTS AND BENEFITS
TAA developed a targeted, implementation team engagement of multiple business units, full management representation, and support. The project team worked to configure PMWeb, developing custom reports, many of which were manually produced prior to BI Report development. As a part of the configuration process, PMWeb utilized a “Train the Trainer” approach, enabling TAA to, in turn, train their user base. A phased end-user training approach was adopted, and the team rolled out training by project groupings. TAA went live in January of 2018.
